Panel Quote Privacy Policy
How we handle personal information when you visit our website, contact us or request a trial.
Last updated:
1. Who we are and what this policy covers
Panel Quote Limited is the New Zealand business responsible for this public website. This policy explains how we handle personal information when you browse panelquote.co.nz, contact us, request a trial or communicate with us about the website and our services.
We handle personal information in accordance with the Privacy Act 2020. A separate service or app may provide additional privacy information relevant to that service. This policy does not replace a workshop’s own responsibilities to its customers or staff when the workshop uses Panel Quote.
2. Information we collect
Depending on how you interact with us, we may collect:
- Your name, business or workshop name, role, email address, telephone number and other contact details you provide.
- The information in an enquiry, trial request, support message, attachment or follow-up correspondence.
- Technical information associated with a website request, such as an IP address, browser or device information, pages requested and the time of access, recorded through website hosting or security logs.
Technical information can be personal information when it identifies you or can reasonably be connected to you. Please do not send unnecessary customer, vehicle, claim or other sensitive information in a general website enquiry.
3. How we receive information
We normally collect enquiry and contact information directly from you. We may also receive relevant details from someone authorised to contact us for your workshop, or from correspondence in which you are included.
Where we collect personal information about you from another source, we will take the notification steps required by the Privacy Act 2020, including information privacy principle 3A, unless a lawful exception applies. Additional information may be supplied directly rather than solely through this policy.
4. What you choose to provide
Providing information through a public enquiry or trial-request form is voluntary. If you do not provide contact details or the information needed to understand your request, we may be unable to respond, arrange a trial or provide the assistance you want.
If you give us information about someone else, you must be authorised to share it or otherwise have a lawful basis to do so. Provide only what is relevant and tell the person about the disclosure where appropriate.
5. Why we use your information
We use relevant personal information to:
- Respond to enquiries and discuss whether Panel Quote meets your workshop’s needs.
- Process trial requests, arrange follow-up and help with account setup where requested.
- Provide support, manage our relationship with you and keep appropriate business records.
- Operate, maintain and protect the website, investigate misuse and resolve problems.
- Meet legal obligations, deal with complaints and protect lawful rights.
We use information for the purpose for which it was collected, a directly related purpose or another purpose permitted by law. We will seek your authorisation where it is required for a new use.
6. Cookies, technical storage and external links
Cookies and similar browser storage, where used, may support website functions, security or preferences. You can inspect, restrict or delete cookies through your browser settings. Blocking storage may affect functions that rely on it.
If optional analytics or marketing technologies are introduced, we will provide appropriate information about their use and any choices required by law. This policy does not imply that every visitor is subject to advertising tracking.
Following a link to an app store, connected platform or another website takes you to a separate service. Its provider may collect information under its own privacy policy. Our website does not control the cookies or privacy practices of a service you choose to visit.
7. When information may be shared
We do not sell or rent your personal information. We may share relevant information with providers helping us operate the website, deliver communications or support our business, to the extent needed for that work. Providers handling information on our behalf must use it for the agreed purpose and protect it appropriately.
We may also disclose information where you authorise it, where disclosure is required or permitted by law, or where a lawful exception allows disclosure for matters such as investigating an offence or addressing a serious threat. We do not treat a website enquiry as blanket permission to distribute your information to industry partners.
8. Information handled outside New Zealand
A provider used to support website or business operations may handle information outside New Zealand. Where an overseas disclosure is subject to information privacy principle 12, we will take the steps required by that principle before making it, such as establishing comparable privacy safeguards, unless another lawful basis applies.
Different rules can apply where a provider only stores or processes information as our agent and does not use it for its own purposes. Contact us if you need information about overseas handling relevant to your enquiry.
9. Keeping information secure
We take reasonable steps to protect personal information against loss, misuse and unauthorised access, alteration or disclosure. Safeguards should reflect the nature of the information and the purpose for which it is held, including limiting access to people who need it for their work.
No internet transmission or storage system is entirely risk-free. If you think information has been sent to the wrong person or a privacy issue has occurred, contact us promptly. Where a breach has caused, or is likely to cause, serious harm, we will notify the Privacy Commissioner and affected people as required by the Privacy Act.
10. How long information is kept
We keep personal information only for as long as it is needed for a lawful purpose. Relevant considerations include completing your request, providing support, maintaining necessary business records, meeting legal obligations and resolving a dispute.
There is no single retention period for every type of record. When information is no longer required for a lawful purpose, it should be securely deleted, disposed of or de-identified as appropriate. You may ask us about the retention of information relating to you.
11. Accessing and correcting your information
You can ask us whether we hold personal information about you, request access to it and ask for a correction. Contact us using the details below and describe the information or correction you are seeking. We may need to verify your identity or authority before releasing information.
We will respond in accordance with the Privacy Act, generally within 20 working days for an access or correction request. If a lawful extension or refusal applies, we will explain it. If we do not agree to a requested correction, you may ask for a statement of the correction sought to be attached to the information.
You can ask us to stop using information or to delete it, but a request does not override lawful retention requirements or other obligations. New Zealand privacy law does not create an unrestricted right to deletion in every circumstance.
12. Communications and your preferences
We may contact you to respond to your request or provide information relevant to a service you have asked about. Any promotional electronic messages must meet applicable New Zealand requirements, including a lawful basis for sending them and an unsubscribe facility where required.
You can opt out of promotional messages using their unsubscribe instructions or by contacting us. This does not necessarily stop essential account, support or other non-promotional communications relevant to your request or service.
13. Privacy questions and complaints
Please direct privacy enquiries and complaints to Panel Quote Limited at support@panelquote.co.nz, or phone 0800 778 683. Explain what happened and the outcome you are seeking so we can investigate and respond.
Postal address: Privacy enquiries, Panel Quote Limited, PO Box 21 231, Christchurch 8143, New Zealand.
If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner. Your right to raise a concern with that office is not limited by this policy.
14. Updates to this policy
We may update this policy when our website, information-handling practices or legal requirements change. The current version and update date will be displayed on this page. Where a change requires a further notice or authorisation, we will take the steps required by law; continued browsing alone is not treated as consent to any new use that requires consent.
